Presentation on the newly developed EXCEL advisee tracking form by Dr. Abdul Gafoor Shaik, Lecturer of Physics at the Department of Applied Sciences

Dr. Abdul Gafoor Shaik, Lecturer of Physics at the Department of Applied Sciences explaining the different features of the newly developed EXCEL advisee tracking form.

"If students are to succeed in college and in life, the principles of developmental advising must be considered essential to all phases of the institution. Advising cannot be done in isolation. This process must be integrated among all constituents of the institution. Advisors are in a unique position to champion and monitor this integration." This was as quoted by Miller, Marsha A. and Alberts, Bonnie in their phenomenal research paper entitled, “Developmental Advising: Where Teaching and Learning Intersect. NACADA Journal, 1994, 14(2): 43-45”.  Understanding the essence of the advising process and with a view to reduce the stress caused during the advising period due to significant cognitive and emotional demands on the advisors, the Department of Applied Sciences came up with a newly developed EXCEL advisee tracking form created by Dr. Abdul Gafoor Shaik, a Lecturer of Physics, who was already identified as a model employee at the HCT during the academic year 2016-17.

The need for conduction of this event came as a proposal from Mr. Shabir Ahmed Nadeem, Head of Physics Unit and Dr. Chhavi Singh, Registrar of the Department of Applied Sciences. After the formal approval of the Head of the Department of Applied Sciences, Dr. Mohammed Ali Oueslati, the Staff Development Committee lead by Dr. C. Rama Chandra Prabhu organized the presentation by Dr. Abdul Gafoor Shaik in three different slots.  The first slot of the presentation was undertaken on 03-09-2018 after the general meeting of the Physics unit between 1:30 pm to 2:30 pm in the Physics laboratory M-209. The second slot was conducted on 05-09-2018 from 10-00 am to 11-00 am for Applied Chemistry and Environmental Sciences Academic advisors and the third slot from 11-00 am to 12-00 noon for Applied Biology and Physics (who missed the activity on 3-09-2018) in the Physics Laboratory M-209.

Dr. Abdul Gafoor explained systematically the special features of his excel program and highlighted on how the program will take care of the alerts on pre-requisites of various courses. He also explained that the program is linked with the degree audits and the final exam time-table. He explained the versatility of the program by taking an example of how the program is easing the procedures involved in projections for the next semester. The Registrar of the department Dr. Chhavi Singh answered some of the questions raised by the participants. There was a reasonable discussion on the questions raised by the participants with a good involvement by all the participants, which in turn had given further insights into the required modifications to the program.

Dr. Abdul Gafoor Shaik expressed his profound thanks to Dr. Mohammed Ali Oueslati, Head of the Department of Applied Sciences, all the Heads of sections/Unit and all the other departmental colleagues for their active support and co-operation. The event was facilitated by the Staff development committee. The introduction of the speaker and vote of thanks are proposed by the head of staff development committee Dr. C. Rama Chandra Prabhu. The feedback on the event was conducted in all the three slots by the Staff Development Committee Members and was analyzed by Dr. Julnar E. Pepito, an active member of the committee. The overall rating of the event from the analysis of the collected feedback was found to be 4.65.

This activity was conducted by the department of applied sciences in order to meet the partial requirements of Goal-8 of the strategic plan: “We will provide facilities and learning resources that are effectively utilized and well-managed to ensure efficient student and staff services”. This event is one among the regular yearly activities conducted at the department for all the staff, in general and in particular for the benefit of the new academic advisors.
