“Plan for what it is difficult while it is easy, do what is great while it is small” is a great strategy promoted by the Chinese strategist, writer and philosopher Mr. Sun Tsu. At the Department of Applied Sciences the strategy for smooth implementation of the advising for the semester-2 of academic year 2018-19 started with a session on up-dating information on the rules for advising and registration by the departmental registrar, Dr.Chhavi Singh on 18th December 2018 in Room number M-316 (Seminar Room of Applied Sciences Department) from 11-30 am to 12-30 noon, that was organized jointly by the Staff Development Committee and the Advising and Registration committee.
Dr. Chhavi started her presentation by explaining the steps to be undertaken by the advisors allotted with the new intake. She had shown how to obtain the foundation transcript of the advisee from the CIMS and stated that the students should have cleared Basic Math, Pure Math and IT-Foundation and English level 4 before getting a transition to the Department of Applied Sciences. She told that if these four courses are not cleared by any of the advisee, then the case should be brought to the notice of the registrar.
Dr. Chhavi also explained the procedure to update the e-mail id in the profile of the advisors for obtaining the system generated e-mails during the process of withdrawal and other issues with the advisees. The important points regarding new eligibility criterion for moving to higher levels from diploma with FDL4 are also discussed. She also explained the recent developments in the withdrawal of courses, mixing of students between different levels and highlighted the specific check points that have to be undertaken by the academic advisors, like, manual calculation of CGPA, reporting of marginal cases, checking of the levels on CIMS, consideration of repetition of courses for improving CGPA and caution to be exercised while advising by considering the failed courses after the announcement of results.
The introduction of the speaker and vote of thanks are proposed by the head of staff development committee Dr. C. Rama Chandra Prabhu. Dr.Chhavi expressed her profound thanks to Dr. Mohammed Ali Oueslati, former Head of the Department of Applied Sciences, all the Heads of sections/Unit and all the other departmental colleagues for their active support and co-operation. She requested all the advisors to kindly report the control room regarding the registration and advising issues that may arise from time to time, so that the possible solutions can be obtained.
At the end of the presentation there was a question and answer session. Dr.Chhavi successfully answered many of the questions raised by the various advisors and there was some lively and useful discussion on the general procedures on advising. The interaction and enthusiasm of the participants during this session had shown their involvement and hence the main objective of the workshop was fulfilled.
This activity was conducted by department of applied sciences in order to meet the partial requirements of Goal-8 of the strategic plan: “We will provide facilities and learning resources that are effectively utilized and well-managed to ensure efficient student and staff services”. This training event is one among the regular yearly activities conducted at the department of applied sciences for the benefit of the new academic advisors.
